My school already has student records in excel format. The structure looks like this:
So you can see the different columns. We use this also for generating report cards so I don't want to alter it. We also have 1000+ kids and I don't want to have to re-enter all of that data. So how do I get it into Gibbon. Unfortunately for someone like me I need detailed step-by step instructions. I can't find that. I will chronicle my adventure here in hopes it may help someone else.
I want to simply be able to move it over with as little trouble as possible.
How do we add students? Apparently you must add them as users. Later, you must assign the users as a student. Before I attempt to import users, I will first try adding one manually.
1.Create a User > 2.Student Enrolment > 3.Course Enrolment
Step 1: Add a User (student) Go to ADMIN>USER ADMIN, you will see this:
Click on the + Add button, and you will get this:
This is where you can manually add a new user. I will fill out the required* info, making a user named "Testy Smith" The required information includes: Surname, First Name, Preferred Name, Official Name, Gender, Primary Roll, Username, Password, Confirm Password, Can login?, Force Rest Password?
Click Submit - it says "was completed successfully"
Where is my new user? It now shows up in HOME>User Admin>Manage Users but it does not show up in students.
Step 2: Enroll
Go to People>Students>Student Enrollment
You can now enroll them but you must have your year Year Groups and Form Groups set up.
Step 3: Course Enrollment
Courses and Classes are found under Admin>Timetable Admin
If you click on the Add + button, you can add a course
How about now doing it as an import???
I tried creating my own file by looking at the example but kept getting errors. Finally I just downloaded the example structure, entered a sample user, and it worked. I also tried removing unnecessary columns but it failed. For now, looks like I am stuck with the structure given.
The other option is to go into the hosting service and try and import it through the phpmyadmin panel. I will try doing this class by class. I have pictures for another class then the one above so I will try using that one.
Here is my data in the excel file. I squished down the rows that I am not pre-filling so I could see all.
I found out that excel automatically created the usernames after I did a few. I then make sure I save it also in the CSV format for the import.
Next I will try and import it from Gibbon itself. Home > Data Admin >Import From File
After removing the spaces I tried again...
Now it tells me no errors but database record could not be found... so not imported.. see below:
What is happening here???
It was just about choosing the correct choice under MODE Don't choose update only, the default, instead choose INSERT ONLY.. With that I am successful!
